CrossCare AI Staff™

AI Teammates for International Healthcare Operations

CrossCare AI Staff helps authorised teams coordinate complex international healthcare workflows — from cases and records to provider relationships, travel, visa processes and operational meetings — within governed permissions and human oversight.

CrossCare AI Staff is a set of governed AI assistants that work inside the CrossCare platform for authorised staff and partner teams. They organise information and prepare work; people decide.

Assistant roles

AI Case Assistant

Supports authorised teams with case organisation, next-step preparation and journey coordination.

Does not decide clinical care.

AI Records Assistant

Helps organise incoming medical information and identify workflow and document gaps.

Does not interpret medical records or draw clinical conclusions.

AI Provider Assistant

Supports provider-network and referral workflow coordination.

Cannot change provider routing for commercial reasons.

AI Visa Assistant

Supports healthcare travel and visa workflow organisation using governed Visa Intelligence.

CrossCare does not issue visas and no assistant can predict or guarantee an outcome.

AI Travel Assistant

Supports travel readiness and healthcare journey coordination.

Does not decide medical fitness to travel.

AI Partner Assistant

Supports partner and network operational workflows.

Cannot agree commercial terms.

AI Follow-Up Assistant

Helps organise authorised follow-up tasks and continuity workflows.

Follow-up that reaches a person outside CrossCare needs human approval.

AI Meeting Assistant

Supports authorised virtual healthcare and business meetings with consented note-taking and a verifiable write-up.

Never speaks, types or sends messages in a meeting.

Not a chatbot

Assigned roles

Each assistant has a defined role and cannot act outside it.

Authorised access only

An assistant sees only the workspace data its role permits, on a minimum-necessary basis.

Case and task context

Work happens against a real case, task or meeting — not a detached chat window.

Journey awareness

Assistants read the existing Journey Intelligence context rather than inventing their own view of a journey.

Permission controls

Authority levels decide whether an assistant may observe, assist, respond or act.

Approval gates

Anything that leaves CrossCare waits for a named human to approve it.

Auditable actions

Actions are written to the existing audit trail with who, what and why.

Structured follow-up

Follow-up is captured as tasks and commitments, not as loose notes.

Bring Your CrossCare AI Assistant Into the Meeting

  1. Step 1

    Assign the assistant

An authorised team member assigns an assistant to a specific meeting.

  2. Step 2

    Obtain required consent

Note-taking and recording are separate permissions and are recorded before anything is captured.

  3. Step 3

    Join the meeting

The assistant joins identified as an AI assistant. It is visible to everyone in the meeting.

  4. Step 4

    Capture permitted content

Only what consent allows is captured. If required consent is withdrawn, capture stops and the assistant leaves.

  5. Step 5

    Organise notes

Captured content is organised into a structured meeting record.

  6. Step 6

Identify decisions, commitments, questions and risks

Each item must be supported by exact text from the meeting.

  7. Step 7

    Prepare governed follow-up

Follow-up is prepared as tasks and drafts that a named human reviews.

Consent

  • Meeting participation and capture are governed by consent, recorded before the assistant joins.
  • Note-taking and recording are separate permissions. Agreeing to notes does not agree to a recording.
  • If required consent is withdrawn, capture stops and the assistant leaves the meeting.
  • The assistant is shown to participants as an AI assistant. CrossCare does not offer hidden or silent recording.

Private to your team

  • Authorised team members can privately ask their assigned assistant about permitted meeting context while the meeting runs.
  • The assistant does not speak in the meeting.
  • The assistant does not send messages to meeting participants.
  • The assistant does not post into the meeting chat.

A decision, commitment, question or risk is only recorded as a meeting fact when exact supporting text from the meeting can be shown next to it. Anything the assistant inferred is labelled as an inference, never as something that was said.

Governance and human oversight

Role-based permissions

Every assistant works within an assigned role and authority level.

Minimum-necessary access

An assistant retrieves only the data categories its role allows.

Approval gates

Nothing leaves CrossCare without a named person approving it.

Auditable actions

Assistant activity is written to the existing CrossCare audit trail.

Human review

Drafts, decisions and follow-up are reviewed by people before they are used.

Consent controls

Meeting capture depends on recorded consent and stops when it is withdrawn.

Data minimisation

Assistants are scoped to a case or workspace, not to everything CrossCare holds.

Workflow boundaries

Clinical judgement, insurance decisions and commercial terms stay with people.

CrossCare AI Staff are operational assistants. They are not doctors, nurses or clinicians, they do not diagnose, and they do not make clinical, insurance or transport decisions. Clinical questions always go to a licensed healthcare professional.
